Job Description

Accounting & Bookkeeping Manager
Company: Family Heart Foundation (via Kelaca)
Location: Austin, TX (Hybrid)
Reports To: VP of Operations and CEO
Employment Type: Full-Time | Exempt

Why This Role Exists

This role is mission-critical – in every sense.

Kelaca is partnering with Family Heart Foundation, dedicated to delivering life-changing care to communities. Their work is grounded in science, compassion, and equity, and none of it happens without financial clarity and trust. The Family Heart Foundation exists to break the silence around genetic lipid conditions like familial hypercholesterolemia (FH) and elevated Lipoprotein(a) [Lp(a)], which often go undetected until it’s too late. These aren’t just medical conditions, they’re family legacies. And they can be changed.

As Accounting & Bookkeeping Manager, you’ll own the full accounting and HR operations life cycle. You’ll be responsible for core accounting operations, shaping best practices, and providing clear reporting that helps the executive team plan, comply, and grow. This isn’t just back-office finance and HR, it’s operational stewardship for a mission that matters.

What Success Looks Like

Within your first 6–12 months, success might look like:

  • Clean, audit-ready records across AR, AP, payroll, and monthly close
  • On-time, insight-rich budget tracking that informs both program reporting and strategy
  • High-trust relationships with executive leadership through clear, proactive communication
  • Seamless reporting and compliance across vendors, board updates, and nonprofit requirements
  • A structured but adaptive financial rhythm that enables growth, clarity, and confidence
  • Complete set-up and administrative onboarding and offboarding for personnel

What You’ll Own

You’ll lead both tactical and strategic finance functions:

Core Accounting & Financial Operations

  • Manage full-cycle AP and AR with an annual operating budget of $5-10 million
  • Own payroll for a multi-state team
  • Maintain the general ledger and expense allocation by program
  • Oversee reconciliations, vendor and contractor 1099s, monthly close, year-end processes
  • Prepare for and facilitate completion of annual external financial audit
  • Support preparation and final review of annual 990 tax documentation

Budgeting & Strategic Finance

  • Lead the annual budgeting process and quarterly review and reforecasting
  • Maintain and evolve budget models and reporting tools
  • Track and explain budget vs. actuals
  • Prepare internal board-facing financials
  • Produce external financial reports related to proposal submissions in compliance with documented requirements and applicable regulations.

Systems, Vendors & Financial Infrastructure

  • Maintain QuickBooks Online with audit-ready discipline with quarterly reconciliation to SalesForce
  • Support leadership by tracking KPIs, financial health metrics and surfacing trends that drive strategic clarity
  • Maintain and manage vendor relationships and documentation (banking, insurance brokers, etc.)
  • Manage company credit card access and reconciliation
  • Ensure GAAP compliance and nonprofit-specific reporting standards

Operational Support

  • Partner with leadership on program planning and cost allocation
  • Contribute to financial planning for sustainable growth
  • Provide light HR support for benefits, onboarding, offboarding and compliance
